Add Admin Visibility Rules to Global Resources

This will limit the admin view of resources to only the admins overseeing a particular department and will enable admins of that same department to manage their own global resources.

As an enterprise client we are not able to offer our clients the ability to manage their own resources. If you give access to resources through the role assignment, the admin sees ALL resources for ALL clients and as such can add, edit and delete resources for other clients. Managing resources for our clients has put a strain on our help desk team and we would like to be able to push that responsibility back onto the client, and the client wants control over their own resources as well.

Thanks!

    Agreed.
We dont want our admins to be able to access or release a resource to all users - only those within their department. This ensures a level of confidentiality as required

Yes - for our organisation it makes sense that only system admins could create global resources. I can't see a case where we would want client admins or lower level admins to create global resources. I guess if they ever needed to, those resources would need to be approved first, so it would be better for them to send them to the system admins to approve and create.

I think that would still meet our needs and work for us.

Hello Paul, I'm not sure I understand what you mean but I think it's fine with us.

For GROW, we never have a use case to provide a global resource to the entire portal, and if we did, it would be my team only and we are all System Admins.

    Hello Admins!

If we were to implement this, it would mean that fewer admins could create a truly global resource available to the entire portal as the only admins with that ability would be those in the root department. Is that an acceptable compromise in your environments?

Totally agree! This is a real issue. Created a separate post on this:

This is very similar to the issue I am experiencing, so rather than create a new idea I have voted on this one, and will add my comments to elaborate on my issue and my suggested solution (which I believe could be the same solution to Heather's original posted issue).

Issue: When Global Resources are created, regardless of which category they are added too, they are globally visible (visible all users), unless they have their availability rule defined to restrict access to defined users (ie based on department, group etc). This poses a significant problem if a facilitator uploads a file specifically intended of a particular user or group of users, that may contain private information that is not intended for any other users to see. If the facilitator fails to set the availability rule correctly (and for every single file they upload), then it could be visible to other users (eg - from a different organisation).

Proposed solution: Allow Global Resource Categories to have availability rules. This way, system admins could set up defined categories for facilitators and other admins to use, ensuring that every file that is added to those categories, are only visible to the users that the system admin defines. In addition, the files within each Category, could have the ability to override their category availability rule (in the same way inheritance works with templates and their parent departments).

100% agree! We are in the same position. We do not want to have to manage all resources, would rather let the admins manage their own resources, but as they have access to everything we cant allow them to do this! This should definitely be a priority. It is no different to which courses you want admins to see.

Wholeheartedly agree - this has been a massive frustration for all of our admins because not only is there no privacy fo information they add, but alos, if they forget to set availability rules on a resource, the item is visible to all users on the platform
